Emily from Southaven, Mississippi (a Platinum Member) asks: I have a series of forms and procedures that need to be performed for each of my patients, in order. How can I keep track of the current step I'm on? Right now, I use a notes field but it isn't very efficient, especially when I might not see the patient for weeks and need to figure out where I left off. Is there a way to have some sort of indicator or system that will automatically help me keep track of where we're at?
Silver Members & up get access to an Extended Cut of this video. Members will learn how to automatically set the option group value when the button is clicked. We'll use just a little bit of VBA code.

Natalie from Carmel, Indiana (a Platinum Member) asks: How can I ensure that my Microsoft Access forms open in the exact location I want them to, even after making design changes? It seems like no matter what I do, Access opens the forms wherever it wants to. Is there a way to use VB code to program the form's coordinates so that it always opens in the specified location?
Silver Members & up get access to an Extended Cut of this video. Members will learn how to create user-defined functions for dynamic form positioning. Whenever you save a form, the position is saved. Open it up, the position is loaded. We'll use a system settings table to keep positions for all forms in the database.

In this Microsoft Access tutorial, you will learn how to create a custom HasValue function using VBA. This function is specifically designed to check for empty and null values in short and long text fields. This function is great for when you don't know what type of field you're dealing with, and you're tired of always checking for both.
Mason from Schaumburg, Illinois (a Platinum Member) asks: How can I understand the difference between an empty value and a null value in Microsoft Access? I have a button on a form to check if a field is blank, but when a user deletes a value in a record, I noticed that the behavior differs for short text fields (which become null) and long text fields (which become empty). Can you explain what's going on?

Hi folks, this is Richard Rost with AccessLearningZone.com. I just released Update 3 of my Account Balances Template. If you're not familiar, this is a database you can use to track all of your account balances, like your credit cards, your bank statements, and the recurring payments that go with them. In Update 3, we're going to parse pending payments. I'll explain what that means in a minute.
I designed a script editor so you can load up a webpage from your bank or credit card, and it will automatically get the information you need off the text of that page with one click. It's really cool; I'll show it to you in a second. And I added an Auto Filter feature so that it'll only show you the transactions and stuff for the account that you're working on.
So what does "parse pending payments" mean? Well, some websites—and I'm not going to name names, Amazon—if you have the Amazon credit card, for example, you'll see this. They don't total up the pending activity for you, right? They'll give you a balance and they'll tell you what your credit available is, but they don't add up the pending activity. So you've got to come and type this all in. That's why we made it in the Account Balances Template, so you can type in 125 plus 6 plus 100 plus 30—whatever—and then the database adds it all up for you, just like an Excel spreadsheet would.
Well, now, this little feature here, "parse pending payments," allows you to copy and paste that text and drop it right in. So, come over to your web browser, just copy all this text, Ctrl+C, come back here, paste it in, and then hit Parse and it does that work for you. There they are. There's an option to ignore negative values because they put payments in there too, which they shouldn't, but they do. Okay, hit Save Pending, and it puts it right up in there for you. You don't have to sit here and do any typing.
Now, speaking of not doing any typing, I also created this feature called the Script Editor. This has a bunch of actions in it. The first thing you're going to do is go "Get Text from Window." Now, you've got to log in manually; I don't have that automated yet. But this will save you some typing. So, you log on to whatever your bank or credit card statement is. The name of the window up here will be in the tab. This one is "Amazon Billing Activity." It doesn't have to be exact; just any part of it, as long as it's unique, right?
Once you've got the window picked, the next step is to look at the text and copy it to the clipboard, then analyze it to find that current balance. Each bank, credit card, or website is different, but the information is always there in the text.
Now, I've been using this for a couple of weeks and it's working great for me. I've also added an Auto Filter feature; when you click on it, it shows only the transactions related to the selected account, another time saver.
Remember, every time I add features, the price goes up because the database is doing more. If you've already purchased it, you're grandfathered in. So, if you're interested, don't wait; get in on the ground floor. Check it out on the website, and if you have any questions or comments, post them down below.
Live long and prosper, my friends. I'll see you next time.

Raj from Denver, Colorado (a Gold Member) asks: I've been building an Access database that involves a lot of mathematical calculations and it has been really slow. I've optimized my queries and made sure my tables are properly structured like you show in your classes, but some operations like running detailed reports still take ages to complete. Is there a way to speed things up without upgrading my hardware. Thanks!
Silver members and up get access to an Extended Cut of this video. Members will learn how to create a batch file to automatically run your database at whatever set priority you decide, so you don't have to manually change it every time you run Access.

Sarah from Amarillo, Texas (a Platinum Member) asks: I'm in charge of keeping track of all the product data for the company but I'm the only one with Access and everyone else refuses to use Access. They all have Excel so is there an easy way for me to export a spreadsheet that they can all view and maybe even make changes to and then I can import that back into Access when I need to? It would also be nice if I could keep my formatting (colors, date formats, etc.)

Andrew from Huntsville, Alabama (a Platinum Member) asks: A coworker and I are working on the same (copy of a) Microsoft Access database, but he's in a different location. My company has strict policies that only allow us to send text files from our computers—no attachments, no FTP, and we can't even use thumb drives. I've tried zipping the file and renaming it with a .txt extension, but they still catch it. We're not breaking any corporate rules; my boss even said it's okay. However, it's up to us to figure out a workaround since the IT guys are no help. Is there anything you can think of? We make little changes to forms or reports every now and then, and we'd like to be able to share them.

Daniel from Greenville, South Carolina (a Platinum Member) asks: I'm using your AppActivate code to switch to my web browser and then copy some data from there into my Access application. Usually, the title stays the same, but once in a while, the website modifies the title just a bit, and it throws my code off. Is there any way to loop through all the open windows and look for a piece of text in the title instead of having to match the entire thing?
Silver members and up get access to an Extended Cut of this video. Members will learn how to switch to the application once we've found it, copy all of the text in that application back to Access, which we can then use to do whatever we want. Whether it's parsing some data out, copying it to a table, and so on.

Mike from Newcastle, England (a Platinum Member) asks: I've been following your Microsoft Access videos for years, and you used to always use DoCmd.RunSQL in your code. But recently, I've noticed you using CurrentDb.Execute instead. What's the difference between the two, and what should I use?
Silver members and up get access to an Extended Cut of this video. Members will learn how to trap errors in db.Execute commands with the dbFailOnError parameter. We will also learn how to count how many records were affected with any SQL command by using the RecordsAffected property.

Declan from San Francisco, California (a Platinum Member) asks: I run a call center and have a problem where my employees will get up and walk away from the computer in the middle of entering a record without saving it. They'll go on a smoke break, or even go out to lunch, or sometimes even go home before saving their work. Of course, if that caller calls back and someone else goes to open the record, they don't see the most up-to-date changes. Is there any way to have the database automatically save changes every minute or two in case this happens?
Silver members and up get access to an Extended Cut of this video. Members will learn how to stop the Autosave from kicking in while the user is actively editing the record. This way he won't be interrupted while typing and have the form save and reset.

Kieran from Miami, Florida (a Platinum Member) asks: I try to compact my database at least once a week, like you told me in your compacting video. But it seems most of the time when I do, I get an error message saying that the database is already in use. I do have a few other people on my network, but I always make sure that everyone's logged out. In fact, no one else is here in the office and all the computers are off, but I still get the error message. What gives?

Harper from Seattle, Washington (a Platinum Member) asks: Is there any way to highlight the current form that has focus? Our database uses a bunch of different forms, and sometimes it's hard to keep track of which one you're on. I know how to use conditional formatting to highlight the field you're on, but it would be nice if the whole form turned yellow too. I tried using the On Got Focus event for the form, but that doesn't seem to do anything.

Jack from Manchester, England (a Platinum Member) asks: I just watched your video on report grouping levels, and I've designed a report to give each of my sales reps their list of calls for the day. It's basically the same thing you designed, but instead of the report being grouped on customers, it's grouped on the sales rep, and the customers that they have to call are in the detail section. Is there any way I can generate this so that each sales rep starts on their own page, so they're not all together?

They have to enter at least five job codes but no more than eight. Is there any way I can check that before they're allowed to close the form?

Lucas from Minneapolis, Minnesota (a Gold Member) asks: Estimators fill out a spreadsheet while they're on the road with a list of job IDs and part numbers. When they send me the spreadsheet, it's got the job number on a row, but then the part numbers are all listed in one field, comma separated. Of course, I have to type these in manually into my database because I've got proper table relationships set up. So, how can I go about taking those part numbers and splitting them up into individual records in a child table?

Daniel from Burbank, California (a Gold Member) asks: I'm trying to get a count of customers from my home state of California on my customer list. I've attempted several different formulas following your Form Footer Totals video, but I just can't seem to get it to work. For example, I've tried: =Count([State]="NY") and it doesn't work. Please help.
Silver members and up get access to an Extended Cut of this video. Members will learn how to create a combo box to select the state from a list of states that exist in the customer table. They can then filter the count results based on that state, allowing for on-the-fly changes. We will use one line of Visual Basic code.

Musoke from Kampala, Uganda (a Gold Member) asks: I have a continuous form where I use a delete query to remove all data at once. Then I utilize an append query to add data back to the same form. However, the new data doesn't load instantly on the form. Instead, I immediately see #Deleted all over the form. How can I modify this so that the data loads instantly and the #Deleted text doesn't appear in the continuous form?

Jeremy from Bethesda, Maryland (a Gold Member) asks: I have two forms in my database: one for a technician and another for the job that's assigned to him. On the technician form, I like to keep a count of how many jobs they have assigned. If I try to update this count from the job form and the technician form is closed, I get an error message. Is there any way to check if the technician form is open before I try to update that value?
